INSTRUCTIONS FOR IN-PERSON PAPER PRESENTATIONS

To help presenters prepare their presentations and contribute to a successful paper session, we have produced the following set of suggestions for in-person paper presentations. If you present your paper online, our online experience chairs will send you a separate set of instructions.
Timing: Papers are given 18 minutes to present and answer questions. Your session chair will ensure that you adhere to these maximum limits strictly. You do have some flexibility to choose the balance between presentation time and question answer time, however you should not use all of your time for presentation. Please plan to leave at least 5 minutes for questions.
  • Before Your Session: Please arrive at your presentation room at least fifteen minutes prior to the session in which your presentation will be given. This will give you time to test your laptop with the presentation system and introduce yourself to your session chair. You must introduce yourself to your session chair so that (s)he is aware that you are present, can confirm the details about your presentation, and can announce you properly (including name/affiliation pronunciation if necessary). If you do not introduce yourself to your session chair in advance of the session, you risk losing your talk slot!
  • Session Chairs: Each session has been assigned a chair to coordinate the presentations, introduce the speakers, and, most importantly, keep everything on time. Your session chair has been instructed to reach out to you in advance of the conference to introduce themselves and answer any questions that you may have.   • Audio/Visual Equipment: We will have standard connection cables available for video and audio. Before the session, please check that your laptop can connect to the presentation system, your presentation shows properly, and videos/audio or other media can be played (and heard) as expected.
  • Laptops: We expect that you will bring and present from your own laptop. If you will need a device to present from, please alert your session chair as soon as possible and before the conference so that we can attempt to make alternate arrangements for you.
  • Be Engaging!: Ultimately the paper session should provide the audience with something more than reading the paper, so think of ways to make your presentation lively, interesting, to encourage audience participation, or to provide additional insights into what is written in the paper itself.
  • Engage With Other Speakers: The sessions have been designed, as much as possible, to feature related content. This means that other papers in your area of research expertise are likely to be featured during your session. Although we recognize that it is hard during the session to focus on anything besides your own upcoming talk, we ask that you try to engage with the other speakers in your session and ask questions as appropriate. By virtue of having a talk in the same session, it is likely you are one of the foremost experts on the content in the other talks!
  • Troubleshooting: For any problems you experience during the conference please notify the session chair or a student volunteer. Volunteers will be wearing conference tee-shirts. Session chairs should be at the front of the room in each session. For questions in advance of the conference, please contact your session chair or the conference chairs.
